  3. Hub Operations Co-Ordinator

To liaise with depots to ensure adequate traction is provided in line with the planned volume for the operations department, which includes upkeep and management of the Security Gatehouse duties. To ensure all correspondence relating to operation matters are dealt with in a timely manner and communicated to the operations team.

 

OPERATIONAL RESPONSIBILITIES:

  • Reporting any damages, problems and general traffic occurrences
  • Communicating with customers and depots when problems arise or simply arranging deliveries and collections and manifesting consignments to be put through the network
  • Input data into KPI’s spreadsheet
  • Organise held over Freight
  • Handling member queries and complaints, predominantly by telephone or email and resolving all issues in a timely manner
  • Confirm bookings and arrange transport with approved subcontractors
  • Ensure compliance with legal and regulatory requirements by drivers and visitors
  • Ensure current security plans are followed, monitored and implement new practices
  • Verbal and written agreements communicated in line with volume need and clearing the hub to make service
  • Update the trunking matrix in line with changes
  • Liaise and assist warehouse team, and any other warehouse duties required
  • Ensure the Company observance to ISO45001:2018 Health & Safety and Environmental Management Control responsibilities
  • Contribute to the provision of Customer Service and make an effective contribution to the business
  • Operate equipment to perform work requirements as and when required

GATEHOUSE RESPONSIBILITIES:

  • Security / Gatehouse Duties (signing in & out of visitors to site and directing accordingly
  • Completing site inductions for Hauliers
  • Traffic Management- Monitor and control access at building entrances and vehicle gates
  • Implementing site safety rules and reporting incidents to Supervisor
  • Maintain an accurate record of any incidents that occur
  • Ensure risk assessment and assignment instructions are followed at all times to meet the customer requirements
  • Deal with customers, staff and visitors in a professional manner
  • General Housekeeping and any other duties as requested by your line manager

GENERAL RESPONSIBILITIES

  • To control vehicle and pallet movements in line with arrival and departures
  • To ensure correct procedures are followed to link depots and hub and to also communicate issues relating to operations
  • To follow all ISO and Health & Safety procedures
  • Working toward supporting the Company goals, values and objectives
  • Ensure highest level of service for both internal and external customers
  • Complete necessary administration duties where required
